Full Time - Day Shift - M-F, 8:30am-5:00pm

Responsibilities:

  • Provides high level administrative and confidential support to Division Administrator and Administrative Directors of clinical and non-clinical operations teams.
  • Maintains all division functions with established division procedures by performing various administrative support functions.
  • Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Kronos timekeeper for assigned Division cost centers.
  • Coordinates and completes special projects as assigned for the division. For example, special reporting, data tracking and/or data management.
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Coordinates catering for Department Interviews, and Planned Events.
  • Assists with Security, Facilities, IT, and Environmental Services as requested from the division.
  • Coordinates speakers and faculty meetings as needed which includes seminars and outside collaborations.
  • Coordinates and schedules conference rooms, facilities requests, environmental services requests, and safety/security.
  • Provides Cross-Coverage Support for the Executive Assistant to the Chair of the Department and Program.

Credentials/Qualifications:

  • High School diploma, Associate’s Degree preferred
  • Minimum 2 years of secretarial/clerical experience required
