Summary
The Department of Molecular Virology & Microbiology at Baylor College of Medicine is seeking a Senior Coordinator, Business Operations to provide administrative support to the department. This support includes managing HR activities, travel, and purchase orders. This position requires a dependable, professional-minded individual who is able to work independently as well as in a team environment with a willingness to assist a team member as needed. The successful candidate will have exceptional communication skills, both written and verbal, have strong and proven organizational skills, be very thorough and have a personal drive to be their best.
Job Duties
- Submits new positions, salary and title changes, and other personnel related transactions through the position management process in SuccessFactors. This includes preparing required financial documents and position description forms in collaboration with hiring managers and MVM admins.
- Works with recruitment liaisons, hiring managers and MVM admins to determine appropriate salaries for new hires.
- Keeps track of each position that is open, applicants, start date for new hires, and other onboarding duties.
- Coordinates with the International Services Office regarding visa requests for new employees and visa extensions for current employees.
- Responsible for working with managers to ensure all promotions, merit and equity adjustments are appropriate and able to be funded.
- Works closely with hiring managers on performance concerns, disciplinary actions, etc. to ensure appropriate steps are being taken.
- Communicates exit checklist with every terminating employee.
- Assists with timekeeping for hourly, part-time personnel as well as assist with other timekeeping matters as needed.
- Obtains approval and create Sponsored Guest Accounts for visitors/volunteers and temp employees using IT Service Portal SGA request process.
- Responsible for some central purchasing on an as needed basis using Procure-To-Pay tool (Jaggaer). Provide ordering assistance to labs/faculty as needed.
- Processes travel reimbursement for PI’s without an assigned MVM admin using Concur. Provide Concur assistance to others as needed.
- Ensures the department website is up to date.
- Serves as Effort Reporting Coordinator for department which would require follow up with pre-reviewers and certifiers on outstanding reports and serves as the primary contact for ERS questions/training.
- Checks default account biweekly and works with departmental admins to resolve default balances in a timely fashion.
- Responsible for PEPT entries for new and vacant positions.
- Serves as main point of contact for all College employee compliance items and trainings (i.e. Performance review completions, DOI, vaccine attestations, etc.).
- Manages calendar scheduling and maintenance, if needed, for 1-2 faculty members.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Experience working with Microsoft Office tools (e.g. Word, Excel, Outlook, Teams), SuccessFactors, Concur strongly preferred.
