Job Description

Summary

Baylor College of Medicine's Center for Educational Outreach (CEO) within the Department of Education, Innovation and Technology (EIT) seeks an energetic and experienced Program Management Associate. The Department provides in-person and web-based education and resources for educators of all levels, students, and the general public—all designed to improve the quality of science and health teaching and learning.

 

The qualified candidate will be expected to serve as the primary point of contact and coordinator for student programs, educator workshops and other courses offered by the department. The candidate will have experience in the field of K-12, undergraduate, graduate or health professions education, experience working with members of the educational community at all levels, ability to conduct outreach to current and prospective school partners, ability to provide technical assistance and training to consultants and volunteers, and experience facilitating workshops and summer programs. The candidate will be familiar with standard approaches to program evaluation and have superior written and spoken communication skills.

 

The Program Management Associate will report to the Administrator of the Department of Education, Innovation and Technology. 

Job Duties

• Plans, implements, and oversees education programs and activities.
• Creates reports on progress and outcomes.
• Assists with strategic planning initiatives and process improvement efforts.
• Monitors compliance with accreditation guidelines; compiles documentation to support compliance and  accreditation efforts.
• Drafts, reviews and updates operations policies and procedures for assigned programs; recommends improvements.
• Assists with budget development and monitoring, grant submissions, and/or grant pre- and post-award activities.
• Provides content development support for programs and activities.
• Organizes programs, projects and activities following the mission and goals of the organization, including screening applications, creating brochures and marketing materials, and attending recruiting events.
• Monitors program/project goals and assists with developing plans/processes for project deadlines and completion.
• Produces accurate and timely reporting of program status throughout the life cycle of program.
• Assists with assessment of program strengths and identifies areas for improvement; and under guidance prepares preliminary evaluation reports of program effectiveness.
• Transparently communicates with stakeholders regarding program issues and decisions on services. 
• Assists faculty with planning and coordinating summer learning experiences for high school and undergraduate students.
• Communicates with K-12 or undergraduate campus staff members and students regarding programs.
• Assists faculty with planning and coordinating workshops and short courses. Communicates with participants and speakers, develops agendas, and administers evaluation surveys.
• Assists in compiling and writing educational grant proposals to local and national agencies.
• Assists in compiling program documentation and evaluation data for annual reporting purposes.
• Assists with vendor set-up, payment processing, and purchasing for assigned programs/projects.
• Performs other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree.
  • Two years of relevant experience.

Preferred Qualifications

•  Master's degree in a related field (education, health or science) is preferred.
•  Experience in assisting with complex projects related to education, event coordination, award or grant submissions, course planning, program evaluation, or related activities.
•  Highly detail oriented and organized with an ability to manage multiple projects and deadlines.
•  Demonstrated ability to work collaboratively with diverse team members. 
•  Excellent oral and written communications skills and knowledge to deal tactfully and courteously with faculty, staff, learners and community members.
•  Ability to work independently, identify needs and implement solutions, assist with complex projects, and meet competing deadlines.
•  Prior experience with course planning, curriculum development or other educational activities at the K-12, undergraduate or advanced degree level. 
•  Experience with the writing and submission of educational grants and project reports.
•  Experience with learning management systems for course creation, such as Blackboard.
