Summary

The Office of the Chief Operating Officer is in search of a highly motivated and competent individual to fill the position of Associate Administrator. This role offers a unique chance to lead academic units, ensuring that programs are executed with outstanding effectiveness and efficiency. Serving as a senior strategic advisor to the Department/Center Administrator, the selected candidate will evaluate and enhance healthcare operations, research administration, and manage business operations while upholding fiscal integrity. The ideal applicant should be versatile and adaptable, ready to temporarily steer Academic Departments. The role will involve providing steady leadership to departments experiencing unforeseen administrative vacancies. The candidate must exhibit sound judgment and the capacity to swiftly evaluate the Department to recommend enhancements.  This position is eligible for an annual performance-based bonus.

The ideal candidate for this role should be adaptable to change, as they will be responsible for temporarily guiding Academic Departments. The position may require offering consistent leadership to departments facing unexpected administrative vacancies. The individual must demonstrate prudent judgment and the ability to quickly assess the Department to suggest improvements.

The successful candidate will have exceptional communication skills, both written and verbal, be regarded as a team player, have strong and proven change management and leadership skills, as well as advanced financial analytical skills. Experience working with Microsoft Office tools (e.g. Word, PowerPoint, Excel), Epic EHR, SAP S4 Hana.

Job Duties

  • Assists in the development of strategic and short-term planning processes and facilitates the obtainment and validation of data needed for strategic decision-making.
  • Serves as a strategic resource to Chair/Center Director and Department/Center leadership to shape and advance strategic priorities and initiatives.
  • Coordinates efforts to define priorities, report on progress, and ensure that the priorities are integrated into decision-making.
  • Works collaboratively with Department/Center leadership to develop a framework to effectively communicate and implement key performance indicators and strategic metrics that identify the current state, craft the path to the future state and provide presentation of project status compared to milestones.
  • Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and approving hours worked of at least 3 employees.

Financial Management:

  • Oversees financial operations including grants, contract, clinical, and other funds to ensure adherence to prudent and generally accepted accounting practices.
  • Advocates for and communicates high standards, holding staff and faculty accountable to Department/Center and College financial management policies.
  • Analyzes financial reports and provides guidance and recommendations for action to the Department/Center Administrator.

Talent Management:

  • Assists the interim Department/Center Administrator to define and operationalize an administrative structure conducive to meeting and exceeding Department/Center goals.
  • Engages with College Human Resources leaders to enhance two-way communication and connect policy and programs with Department/Center application.
  • Designs Department/Center processes, in collaboration with the Department/Center Administrator, to align with College policy and enhance the employee experience.

Research Administration/Operations:

  • Oversees, in collaboration with the Department/Center Administrator, pre-award and post award programs within the Department/Center.
  • Provides advisory support to faculty through the grant life cycle.
  • Partners with leadership to ensure compliance and effective use of resources.

Clinical Operations:

  • Oversees clinical practice operations, in collaboration with the Department/Center Administrator, through personnel administration, quality improvement, billing and collections, and process management and design.
  • Ensures clinical productivity measures are met and exceeded, by accessing and analyzing data and providing actionable recommendations.
  • Supports patient experience efforts through defining and operationalizing related activities and improvements.

Performs other duties as assigned.

Minimum Qualifications

  • Bachelor's degree.
  • Five years of relevant experience including prior experience in a management role.

Preferred Qualifications

  • Bachelor’s degree in Accounting or Finance.
  • Master's degree.
  • Seven years of experience with at least four years of management experience.
