Duties and Responsibilities:
- Oversee multiple unit financial accounts; utilize spreadsheet software and prepare budgetary reports; process orders, fees, payments, reimbursements, and other financial transactions; serve as point of contact for vendors, faculty, and staff with regard to purchases and financial transactions; prepare and submit EPAFs; coordinate access to and reporting related to multiple departmental credit cards.
- Maintain the security and upkeep of facilities, supplies, and equipment; coordinate custodial, maintenance, renovation, and move/excess requests; issue keys, activate student/employee ID cards for access to rooms and buildings, and issue lockers; routinely inspect facilities for areas in need of maintenance; coordinate with risk management to ensure facilities are in compliance with university policies.
- Provide office support for Director, Associate Director, and other faculty/staff; answer telephone and greet visitors; answer questions and requests for information; communicate and coordinate workflow with faculty, staff, and students; process, sort, and distribute mail, shipments, and deliveries; maintain office the office’s equipment and appearance.
- Interview, hire, train, and supervise student office and gallery workers.
- Serve as back-up support for other School of Art staff as needed.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
- Assist with planning and executing unit events (receptions, retreats, recruitment events, etc.), including scheduling, invitations/promotions, catering, setup, breakdown, and other related tasks.
