Job Description

Perform duties related to the receipt, moving, storage, care, and issuance of supplies, equipment, mail, and packages among offices, buildings, or storage areas, complying with appropriate regulations and codes, and maintaining the university’s equipment and properties inventory system according to periodic and perpetual inventory schedules. Demonstrate safe driving practices and follow state driving guidelines while driving BSU vehicles.

Job Function:

Minimum Education:

High school diploma or equivalent (GED).

Minimum Experience:

1.One year experience in industrial stores, warehouse, distribution center, route delivery, professional moving, inventory, shipping/receiving, or other stock related area.
2. Must possess and maintain a valid For-Hire endorsement and be insurable under the university’s auto fleet policy.
3.Must possess and maintain a forklift operator certification or obtain such certification within 90 days of hire.
4.Must be able to read and comprehend all specified policies and procedures for safety, hazardous materials information, and university policies, procedures, and communications, and perform mathematical calculations.
5.Must be able to perform mental and physical requirements as outlined in each job duty.
6.You must be 18 years or older.

Duties and Responsibilities:

  • Receive, store, and issue equipment, mail, packages, supplies, merchandise, and tools. Perform a visual inspection of mail, packages, tables, chairs, furniture, freight, etc., to determine shortage and damages and sign bills of lading. Verify and document BSU inventory numbers and serial numbers on the move manifest. Search for mail or packages that have been reported misplaced or lost.
  • Operate and maintain materials handling equipment such as forklifts, pallet jacks, and dollies to load and unload trucks. Store and move items such as mail, packages, desks, tables, chairs, file cabinets, computers, etc., to campus and storage areas as instructed. Operate a box truck to pick up and deliver equipment, furniture, store orders, bulk orders, and packages.
  • Deliver and move office equipment internally within departments, between departments, and to and from departments, offices, individual buildings, and the university warehouse on and off campus according to daily job tasks.
  • Meter mail either full rate or presort rate for the campus community. Record presort counts and record meter readings. Obtain signatures for courier requests and maintain daily paperwork concerning deliveries. Collect and deliver mail, packages, envelopes, and boxes on foot or by vehicle according to routes and schedules as assigned.
  • Set up, assemble, and disassemble tables and chairs and staging for campus events such as commencement, science fairs, dinners, concerts, etc., on-campus and off-campus locations or, if needed, at out-of-town locations. Deliver, set up, and move requests for disability services equipment.
  • Assist in inventory management of transferred capital assets, new inventory numbers, and removal of inventory. Ensure the tracking of inbound assets, location of assets, disposal of assets, and the annual audit inventory of assets from excess. Conduct physical inventory of property, equipment, and various items. Search for equipment that has been reported misplaced or lost. Collaborate with the University Controller’s office to maintain a working relationship between departments as needed.
  • Prepare incoming and outgoing mail for distribution or dispatch, including weighing, sorting, labeling, bundling, and stamping by operation of postage meter and other equipment. Record delivery and pick-up information as assigned. Perform minor maintenance as directed on metering or other machines. Search for mail or packages that have been reported misplaced or lost.
  • Operate the point-of-sale system for Central Stores. Assist in opening and closing the point-of-sale system, Central Stores, and Central Receiving daily. Pull Central Stores orders, manifests, and daily orders, and perform daily inventory counts for Central Stores. Provide direct customer service in person, over the phone, and through email. Perform basic computer tasks such as scanning, printing, uploading, downloading, entering, and confirming data.
  • Review furniture and equipment that have been excessed. Place equipment and furniture in good condition on the Ball State Excess catalog. Check equipment and furniture for BSU inventory numbers, take pictures, create BSU back-to-campus numbers for the catalog, and pull these items for delivery.
  • Assist in identifying capital asset items sold through an online auction. Research, inspect, photograph, and complete a detailed write-up for each auction item. Utilize contracted online auction service to post available items for sale, assist buyers with answering questions related to the auctions, resolve customer concerns and assistance, and oversee paperwork associated with the auctions.
  • Maintain orderliness of vehicles, work, and storage areas.
  • Lock and unlock doors to buildings, rooms, and vehicles as required to perform job-related duties by departmental policies and procedures. Maintain security of assigned keys, radio, and departmentally issued iPads.
  • Perform other duties as assigned.
