Job Description
Grant Accountant
The Grant Accountant provides primary accounting function for all grant monitoring administration, compliance, grant accounting, and financial reports of awarded grants through their final closing. The Grant Accountant is also responsible for oversight of other donor restricted funds received by the College.
AREAS OF RESPONSIBILITY:
1. Set up new grants, which includes, but is not limited to
- Post-award responsibilities include the review of the final grant documentation, documenting the restrictions and developing the budget to actual reporting and the GL codes for the award, continued monitoring of the transactions related to each grant through review of payroll, PCard, and other procurement vehicles, providing authorization for the identified transactions.
- Calculates and records the indirect cost allowance to each grant, as appropriate on a semi-annual basis.
- Manage accounts payable and receivable activities for grant subcontracts.
- Meet with Principal Investigator/Project Director (PI/PD) when grant is awarded to review responsibilities for grant management and reporting. Subsequent meetings to maintain communication throughout and at the conclusion of the grant.
2. Reporting:
- Performs monthly analysis of all transactions in the restricted fund to evaluate whether funds are properly spent, and to be fully aware of the status of these funds, particularly identifying funds with little or no activity so follow up on their status occurs. Update PI/PD on available grant funds periodically.
- Prepare monthly data for the business office on funding draws from Federal Agencies (DOE, NIH, NSF, NEH)
- Prepare/coordinate quarterly reports for Federal Agencies. Contacting/collaborating with other offices as needed to gather required information.
- Reconcile interim and final financial reports.Provide grant data for annual College grant audits. (A133 audit)
3. Close grants: Carry out grant closing activities.
4. Provide compliance and Project Investigator training:
- Implement procedures to communicate, educate, and ensure compliance with college policies and applicable grant regulations.
- Improve current data systems.
- Monitor compliance with internal policies related to grant funds and any other applicable grant regulations.
- Identifies and reports compliance issues to the Assistant Controller/Controller
5. Other duties as assigned - Provides support to Controller and Assistant Controller as needed.
Requirements
EDUCATION:
Essential: Four-year accounting degree
Desirable: Master's degree
EXPERIENCE:
Essential: 3 to 5 years accounting, budget management or
related experience. Must be an experienced with Microsoft Word and Excel
Desirable: Experience with grant management.
KNOWLEDGE, SKILL AND ABILITIES:
