The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.
Job Summary
This position will coordinate all activities and support faculty regarding academics for all Clinical Diagnostic Sciences faculty for undergraduate and graduate students. Organizes exams/quizzes to include preparing, uploading into responds and D2L, applying appropriate exam conditions including special access, applying special access for make-up exams and special accommodations, retrieving information, releasing results, coordinating materials and dates for special accommodations at the testing center, coordinating makeup exams/quizzes, and gathering information for course schedules. Enter/retrieve information from (simple syllabus, D2L, POUNCE, Banner CIR and AxiUm). Privy to confidential information regarding students/patients. Enter grades in D2L. Enter competency results. Keep track of clinical course requirements and clinical rotation requirements. Help faculty organize D2L and upload materials into D2L. Provide office administrative support.
Responsibilities
The duties include, but are not limited to:
ACADEMIC (FACULTY AND STUDENT SUPPORT): Prepare and organize class schedules, handouts, exams, and quizzes. Create and organize classes in Responds, D2L, and Microsoft Teams. Keep spreadsheets of student grades and work with the course director to average and release grades to students. Enter grades into D2L. Enter competency results. This position is responsible for didactic and clinical courses for the clinical diagnostic sciences faculty. Help faculty administer exams and coordinate testing center accommodations and make-up exams and quizzes. Fall courses: BMCR-5301, DSOM-5603, DHYG-3250, DSOM-5301, DSOM-5591, DSRD 5591, RSDS-5391, CLCR-8006, OMSR-6022, OMSR-7022, OMSR-8022, OMSR-9022, DSCP-5701, Ga war rotations-D4. Spring courses: BMHS-5401, DSOM-5402, DSOM-5692, DSRD-5211, RSDS-5492, DSRD-5692, OBPR-8540, OMSR-6032, OMSR-7032, OMSR-8032, OMSR-9032, Oral Path rotations-D4, TMD clinical rotations-D3, Ga War rotations-D4.
Coordinates all activities and supports faculty regarding academics for all Clinical Diagnostic Sciences faculty for undergraduate and graduate students. Organizes exams/quizzes to include preparing, uploading into response and D2L, applying appropriate exam conditions including special access, applying special access for make-up exams and special accommodations, retrieving information, releasing results, coordinating materials and dates for special accommodations at the testing center, coordinating makeup exams/quizzes, and gathering information for course schedules. Enter/retrieve information from (simple syllabus, D2L, POUNCE, Banner CIR, and AxiUm). Privy to confidential information regarding students/patients. Enter grades in D2L. Enter competency results. Keep track of clinical course requirements and clinical rotation requirements. Help faculty organize D2L and upload materials into D2L. Provide office administrative support. Help keep track of clinical student rotations for TMD D3 clinical rotation (DSOM clinical courses) and GA War D4 clinical rotation. Send reminder emails to students.
Keep track of sign-in sheets and patient encounter forms. Help ensure appropriate scheduling of rotations so that they do not conflict with other diagnostic sciences courses. Help keep track of clinical student rotations for DSRD clinical courses. Report competency results to administration and D2L.
ADMINISTRATIVE: Help with administrative needs for the oral pathology lab. Answer phones, file, faxing, order biopsy kits, and backup for the Pathology Lab.
STUDENT AWARD CEREMONY: Prepare materials for the Student Award Ceremony. Collect the top three student names and provide the winner to the American Academy of Oral & Maxillofacial Pathology, American Academy of Oral Medicine, and American Academy of Oral and Maxillofacial Radiology for printing of certificate.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.
OR
Associate's degree from an accredited college or university in a related field may be substituted for experience.
Knowledge, Skills, & Abilities
KNOWLEDGE
Learn AU policy and procedures. Business and office procedures, typing 70 wpm, word processing, computer data entry and scanning. Knowledge of Microsoft office applications as well as adobe applications needed. Requires excellent communication skills. Basic accounting knowledge and abilities.
SKILLS
Verbal and written communication skills using English language; memory for detail to understand and recall process and procedures; computer literate, sense of hearing, sight, and touch; manual dexterity for paper manipulation and keyboarding. This position communicates with faculty and staff concerning departmental business involving other departments and administrative units. This position is primarily responsible for all communication regarding didactic and clinical courses for the clinical diagnostic sciences faculty. This position communicates with students regarding handouts, exams, grades, and absences. All AU, AU Medical Center, and AU Medical Associates positions are responsible for promoting a customer friendly environment and providing superior service as a part of their job.
