Job Description

The Box Office Manager for the College of Fine Arts manages the internal operations related to directing, monitoring, and controlling daily business and ticketing administration. This position oversees and ensures compliance with university policies and procedures as well as best practices in box office and ticketing activities. This position is responsible for daily oversight of box office activities, weekly and monthly accounting processes, year-end financial reporting, and year end settlements. The Box Office Manager reports to the Communications Manager and works closely with the entire marketing team to ensure best-in-class patron experience and engagement.

Job Function:

The Box Office Manager for the College of Fine Arts manages the internal operations related to directing, monitoring, and controlling daily business and ticketing administration. This position oversees and ensures compliance with university policies and procedures as well as best practices in box office and ticketing activities. This position is responsible for daily oversight of box office activities, weekly and monthly accounting processes, year-end financial reporting, and year end settlements. The Box Office Manager reports to the Communications Manager and works closely with the entire marketing team to ensure best-in-class patron experience and engagement.

Minimum Education:

Bachelor’s degree from an accredited institution, or an equivalent combination of education, certifications, and/or experience may be considered in lieu of a bachelor's degree.

Preferred Education:

Master's or bachelor's degree from an accredited institution in a performing art field (music or theater), arts or business administration, hospitality, or related field.

Minimum Experience:

Two years of experience working in box office management and/or venue management office in music, theater, art, or educational organization.

Preferred Experience:

Three or more years of operations/logistics experience in a ticketing or box office management experience; two years of supervisory experience in face-to-face customer service and sales environment utilizing a point-of-sale system or CRM; ability to demonstrate examples of success or high achievement within that experience. Three years or more of experience working with student employees, interns, or practicum.

Duties and Responsibilities:

  • Oversee, monitor and control box office financial activities, including reconciliation of all department records regarding ticket sales, orders, and adherence to cash handling procedures; balance box office transactions, deposit funds; reconcile financial statements for each performance. Ensure compliance with university and federal regulations for credit card processing and red flags.
  • Hire, supervise, train and direct student employees regarding ticket sales to provide consistently high level of customer service; disseminate information about all shows, on sale dates, and special requests; ensure the box office is adequately staffed during hours of use including evening and weekend schedules; prioritize job tasks, ensure professionalism, high service standards and productivity of the ticket office staff.
  • Build, maintain and modify events in the ticketing system; work with the Communications Manager and CFA units to develop pricing strategies and scaling that maximize sales. Create and implement all aspects of seasonal package sales; manage ticket types and discounts. Monitor and control event ticket inventory, all hold categories; ensure ADA compliance for all ticketed events.
  • Develop and implement an annual ticket sales calendar in alignment with organizational goals, assessing performance data and trends to proactively adjust tactics for maximizing subscriptions and single ticket sales. Lead the creation and execution of engaging sales strategies, including negotiation of group sales with prospective organizations, schools, and community partners.
  • Recruit, train, and supervise paid college students, 30- 50 practicum students, and interns. Provide ongoing mentorship and professional development opportunities for students. Coordinate schedules and responsibilities to ensure a balanced workload and valuable learning experiences for students. Conduct sales training, implement promotional scripts and sales guidelines for staff, and hold staff accountable for meeting individual and team sales goals.
  • Collaborate with event coordinators, back-of-house, stage management, and
    production teams to ensure smooth event operations. Manage ticket inventory, ticket
    allocations, and seating arrangements for each event. Provide accurate reports and
    attendance data for event planning and analysis.
  • Prepare and present financial reports, including sales analysis, budget forecasts,
    year-end financial reporting, and revenue tracking. Maintain accurate and up-to-date
    records of all box office transactions and activities.
  • Work with Ball State and Tix to resolve problems when software, payment
    processing, internet sales, ticket scanning or operating system issues arise. Troubleshoot
    related hardware such as laptops, computers, scanners and Boca printers.
  • Manage patron interactions, providing exceptional customer service and swiftly addressing any issues or concerns with professionalism and courtesy. Proactively de-escalate difficult situations with a variety of patrons to arrive at appropriate solutions. Develop and implement customer feedback mechanisms to gather insights and drive continuous improvement in the patron experience. Regularly analyze feedback and implement changes to enhance service quality and ensure long-term customer satisfaction.
  • Maintain current knowledge of university hiring procedures; process student staff
    and graduate assistant EPAFs and required paperwork; reconcile box office related payroll
    records.
  • Perform other related duties and special projects as assigned.
  • Regularly research and stay ahead of ticketing industry trends, implementing updates to ticketing platforms and best practices. Collaborate with the marketing and communications team as needed to optimize campaigns, report performance metrics, and recommend strategic adjustments based on audience behavior and market changes.
