The University of Texas Permian Basin's Department of Graduate Studies welcomes applications for the position of Data & Outreach Specialist

Salary Range
$50,000.00 depending on qualifications
Essential Functions
Reporting to the Assistant Director of Graduate Studies Operations, the Data and Outreach Specialist plays a critical role in supporting the Graduate Studies Office by ensuring the accurate intake, loading, validation, and maintenance of graduate application data across multiple systems. This position supports the integrity of graduate admissions data while also contributing to targeted outreach and communication efforts that enhance the prospective student experience at The University of Texas Permian Basin. The role requires a high level of attention to detail, strong data governance practices, and the ability to work effectively within evolving systems and workflows.
1. Load, validate, and maintain graduate application data from the in-house graduate application system (Slate), ApplyTexas, and PeopleSoft.
2. Conduct routine audits in ApplyTexas and Slate to identify missing, duplicate, or conflicting records and resolve discrepancies in collaboration with IT staff and Slate administrators.
3. Serve as functional support for the in-house graduate application system, including testing, troubleshooting, and implementing continuous quality improvements such as workflow refinement.
4. Guide prospective students through the University's graduate admissions process by answering application-related questions and providing technical assistance as needed.
5. Collaborate with Admissions, the Registrar's Office, Educator Preparation Programs (EPP), and Financial Aid to support data processing and operational needs.
6. Prepare routine and ad hoc reports related to applications, admissions, and enrollment metrics.
7. Support outreach initiatives by preparing and managing data for targeted communications.
8. Assist with applicant communications related to application status, missing documentation, and next steps to improve the overall applicant experience.
9. Ensure data readiness and accuracy for communication campaigns and follow-up activities in Slate.
10. Participate in and assist with leading graduate admissions information sessions, including data preparation, attendee tracking, and follow-up communications.
11. Provide operational and administrative support during peak admissions and enrollment periods.
12. Assist with monitoring and maintaining the Graduate Studies email inbox.
13. Support commencement-related activities as needed.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 - 5:30 pm; Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
