Position Description
Advertised Job Summary
This position will serve as the facilities financial liaison for capital project reporting. The employee will coordinate project establishment and closeout between university level and state level stakeholders. The employee will also ensure accurate cost reporting to allow for project budget management.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials
Preferred Qualifications
Experience with ERP (PeopleSoft) and Facilities CMMS systems.
Knowledge/Skills/Abilities
Knowledge of the principles, practices, theories and terminology of accounting, auditing, banking, budgeting, financial management or investment; of office practices and procedures, of financial statement analysis; and of the budget development processes.
Strong verbal and written communication skills.

Review and process requisitions in the University’s ERP for capital projects to ensure correct information has been submitted. Assist project managers with entering receipts for approved pay applications.

Assist Director of Facilities Administration & Finance, Assistant Director of Facilities Administration & Finance with Facilities Planning, Design, and Construction leadership to prepare state and/or internal projects through the approval process. Serve as lead with amending project changes on correct forms for review. Assist in communicating the status each project throughout the approval workflow.

Job Duty
Establishes approved projects in both Facilities CMMS and the University’s ERP. Updates budget information according to approved budget changes. Serve as financial liaison with the Controller’s Office Capital Asset team.

Reconciles projects to ensure accounting information is accurate in the University’s ERP and Facilities CMMS. Act on any discrepancies with proper departmental constituents. Prepares monthly reports to demonstrate project reconciliation status and activity.
